Further questions about data protection in the TUDa app

Here you will find further information on data protection, terms of use, and consent. Please contact us if you have any questions.

The TUDa app collects and processes personal data only to the extent necessary for the functions offered. If individual users do not use certain functions (e.g., the ID module) or the career section, the data required for these functions will not be collected or processed.

The app offers the option of logging in to various university services with your own account and using them, including, for example, student email or your library account. With the email function, data from the university network is retrieved directly to the end device and processed and displayed in the app. This data is not transferred to the servers of the app provider UniNow. The procedure in connection with the library account is explained below.

The login details (TU ID) and library account details are stored locally on the device after the first login in order to reduce the number of password entries required. We recommend activating the PIN lock in the app settings (see above) to ensure that login details and all other personal data are stored in encrypted form.

The app does not require permission to collect location data for normal use. In the career section, when searching for job offers in the area, you can optionally use your current location in addition to a location specification. The smartphone system then offers the option of allowing permission only once or always when using the app.

Third-party content or services may be displayed or accessed in the TUDa app, for example via embedded websites, news, links, or when opening external apps (e.g., navigation applications). The use of these offers is governed exclusively by the terms of use and privacy policies of the respective provider, over which we have no influence.

To increase security, in addition to a PIN lock, the app can also be locked using biometric features, for which the respective functions available on the smartphone (Touch ID, Face ID, fingerprint) are used. Biometric features are not stored in the app or on servers.

In order to compile statistics on the use of the app (e.g., number of monthly active users) for the university, the number of module calls and interactions within the app is counted using a randomly generated device ID. This information is not linked to any personal data. The analysis data is processed internally by the app provider UniNow and is not passed on to third parties.

An additional user account, the UniNow account, can be created in the app settings. UniNow is the provider of the app. The UniNow account allows certain data to be synchronized between multiple devices. If the synchronization function is not required, this account does not need to be registered.

The TUDa app offers various modules and functions. TU Darmstadt is responsible for most modules in accordance with the GDPR. However, some modules are operated and managed exclusively by UniNow GmbH. To ensure transparency regarding responsibilities, please find an overview below:

Note on integrated websites

The privacy policy provided on each website integrated or linked in the app applies to those websites. In these cases, the respective entity operating the website is responsible in terms of data protection law.

Use of the TUDa app is voluntary. All university services available in the app can also be accessed in other ways, usually via the university websites. However, the app offers simplified access to digital services when using mobile devices.

The app does not contain any additional or premium offers that incur additional costs.

Immediately after launching the TUDa app, users can log in with their TU ID to clearly identify their role (e.g., student or employee). This allows the app to recognize the user's role and automatically provide the appropriate functions.

Login is via the TU Darmstadt single sign-on (SSO). Only the data displayed in the login dialog is transmitted—no other data is transferred. Without logging in, only a few general functions are available.

If you use the app as a guest (i.e., without logging in with a TU ID), the following data will be collected:

  • Information about the browser type and version used
  • Operating system and operating system version
  • IP address of the user (shortened anonymously in log files)
  • Date and time of access

The user's IP address is stored to enable content to be delivered to the user's device. To do this, the user's IP address must remain stored for the duration of the session.

If you use the app WITH registration (i.e., with your TU ID) as an employee or student, the following additional data is processed:

  • SAML Pairwise ID (for identification for Shibboleth-based login)
  • Email address (as the main identifier within the UniNow account system)
  • Role (“employee” or “study,” to distinguish which modules should be displayed in the app
  • If the digital booking system (TU4YOU) is also used, the following additional data is processed:
  • First name and last name (to display the name in participant lists)
  • Booking time and booking ID (for managing and documenting bookings)

To display the necessary data on the student ID card, Deutschlandticket, and European Student Identifier, the following data is also processed and transmitted via API (hosted at TU Darmstadt) to the app provider UniNow. This only happens if you voluntarily agree to the use of the individual ID card modules. Only the data marked with an asterisk (*) is stored in the UniNow account system:

  • First name
  • Last name
  • Validity period of the ID card/ticket
  • Photo (only processed locally on the end device)
  • Matriculation number
  • Role (“student”)*
  • TU ID*
  • SAML Pairwise ID*
  • Email address*
  • European Student Identification Number (ESI)
  • eduPersonPrincipalName
  • ULB library number
  • Date of birth
  • Semester

The career section is an additional service offered by the app provider UniNow, which is operated independently by UniNow. The career section is not required to use the services offered by the university.

Students can search for suitable job offers in the career section and find out more about the respective companies. To do this, it is possible to

  • search through job advertisements from companies,
  • create your own application profile, which is displayed anonymously to companies, in order to send a contact request if necessary,
  • actively respond to job advertisements by applying online or contacting the company directly.

When using these functions, the necessary data is collected and initially stored locally. Users can pass on their data to a company for contact purposes, which must be explicitly confirmed in each individual case. Personalized career recommendations can be deactivated at any time in the settings under “Data protection.”
